This page explains the purpose of the Roster Manager role, who should serve in this role, and the responsibilities involved in maintaining accurate staff and student rosters throughout the school year.
Staff and student rostering ensures that instructional leaders and teachers have the appropriate access to the Every Child Ready Platform and that students are assigned to the correct classrooms throughout the school year.
Each school/district designates one Roster Manager to complete the initial rostering process before the academic year begins. The Roster Manager is also responsible for maintaining staff accounts and student classroom assignments throughout the year.
The recommended Roster Manager is a principal or administrative staff member who:
Has access to staffing and classroom assignment information.
Has access to student information, including names, grade levels, classroom assignments, dates of birth, and demographic information.
Is comfortable using spreadsheets (Google Sheets or Microsoft Excel) and CSV files.
Note: Teachers are generally not recommended because the Roster Manager role includes administrative permissions that may not be appropriate for classroom staff.
Throughout the school year, the Roster Manager is responsible for:
Importing staff accounts before the school year begins.
Assigning staff to the correct school, school year, and classrooms.
Updating staff accounts and classroom assignments as staffing changes occur.
Importing student rosters before the school year begins.
Enrolling new students.
Updating student classroom assignments.
Removing withdrawn students from classroom rosters.
Keeping roster information accurate throughout the year.
If needed, a school may assign a different Roster Manager after the school year begins. The new Roster Manager should have the qualifications listed above and be familiar with the school's staffing and student information.
